Information you choose to provide
When you request a consultation, the website collects the contact details, professional context, five health-priority self-ratings, readiness to begin and message you submit. The ratings are personal reflections rather than clinical scores. They are not submitted while you complete the review and become part of the enquiry only when you consent to and submit the application. The site may also record the first page, referral source and campaign information that brought you to the form. You are asked not to include medical records, urgent medical concerns or information that is not needed for the initial conversation.
When you register interest in a tailored programme, we collect your first name, email address, selected programme and your permission to email its launch details. Before purchase, the programme brief collects the outcome you want, movements you wish to improve, current training and available equipment so the selected purchase can be reviewed and, after confirmed payment, Cole can adjust and deliver the framework. Do not submit diagnoses, medical records or urgent medical concerns through this form. You can withdraw marketing permission by contacting Cole at info@theexecutivevitality.com.
If you become a client and use the secure client portal, The Executive Vitality may record and share with you measurements such as height, weight, body-composition estimates and body measurements, together with your exercise plan and dated strength, mobility, flexibility and cardiovascular progress. This information is used to deliver and review your coaching. It is not a medical record and the portal must not be used for diagnoses, test results, urgent concerns or treatment records.
Who is responsible for your information
The Executive Vitality, operated by Cole Kemp, is responsible for the personal information described in this notice. Privacy enquiries can be sent to info@theexecutivevitality.com.
How the information is used
The information is used to review your enquiry, decide whether The Executive Vitality appears well placed to help, and contact you about an introductory conversation. It is not used to provide a medical diagnosis or emergency support.
Legal bases
Information is processed where necessary to take steps at your request before a possible coaching engagement, to pursue the legitimate interests of responding to and administering genuine enquiries, to comply with legal obligations, or on the basis of consent where consent is specifically requested. Explicit consent is requested before the five health-priority ratings and application are submitted. You may withdraw consent at any time without affecting processing that took place before withdrawal.
Website and form provider
This website and its consultation, programme-interest and programme-intake forms are provided through Wix. Information submitted through these forms is processed and stored using Wix services so the request can be reviewed, answered and, where applicable, fulfilled.
Client accounts and portal access
Client portal access uses an individual Wix member account. Each portal account is linked to one client record in The Executive Vitality so that a signed-in client can see only the information assigned to them. Keep your login details private and contact The Executive Vitality promptly if you believe somebody else has accessed your account. Administrative access is limited to people who need it to deliver or support the service.
Mobile application
The Executive Vitality mobile application provides access to the same secure client and coach services described above. It may use basic device functions to display connectivity status, provide subtle touch feedback, open approved links to The Executive Vitality and maintain a signed-in session. These functions do not give The Executive Vitality access to your contacts, photographs, precise location, microphone or health data held elsewhere on your device. Private coaching information is retrieved from the secured Wix service when required and is not included in the app's offline fallback screen.
If notifications are introduced later, the app will ask for permission before enabling them and this notice will be updated to explain the information involved. You can ask The Executive Vitality to close your portal account and delete or restrict eligible information by emailing info@theexecutivevitality.com.
Cookies and your choices
Essential cookies and browser storage support security, sign-in and requested features. Your cookie choice is remembered on this browser for up to 180 days. Optional site analytics and campaign measurement are off until you accept them. Advertising remains disabled. Select Cookie settings in the footer to change or withdraw your choice at any time. Clearing your browser storage or using a different browser will show the choices again. Withdrawing consent stops future optional measurement; it does not undo data already collected.
Website analytics and campaign information
The site may record page views, consultation-button interactions and referral or campaign parameters so The Executive Vitality can understand which information is useful and which marketing activity produces genuine enquiries, when you allow analytics through the cookie choices.
Sharing and retention
Your enquiry is shared only where reasonably necessary to operate the service, use trusted technology providers, obtain professional advice, meet a legal obligation, or protect legitimate rights. Unsuccessful or inactive website enquiries are reviewed periodically and should not be kept longer than reasonably required. Records connected with an active coaching relationship may be retained for longer where needed for service delivery, safeguarding, accounting or legal purposes.
Your information rights
Depending on the circumstances, you may ask for access to your personal information, correction of inaccurate information, deletion, restriction, portability, or an objection to certain processing. You may also complain to the UK Information Commissioner's Office. Contact The Executive Vitality first if you would like an issue investigated or a right exercised, and avoid including additional sensitive information in the request.
Changes to this notice
This notice may be updated when the website, service providers or information-handling practices change. The latest version will remain available on this page with its updated date.
A separate coaching agreement or privacy statement may be provided before detailed wellbeing information is collected. The Executive Vitality does not use this portal as a substitute for clinical record keeping.
